How do I use agreements in VeriScan Cloud?
Agreements allow you to display a consent form or waiver to visitors at the time of scanning. The signed agreement is attached as a PDF to the visitor's scan record. This feature requires an Enterprise subscription plan and is compatible with VeriScan for iOS, Android, and Windows.

Overview
Your VeriScan Cloud account supports two agreement types, both configured from Settings > Agreements:
- Agreement text — The standard agreement shown to visitors based on the toggle setting described below.
- Group Agreement — A separate agreement exclusively for visitors assigned to a group. It is never shown to unassigned visitors, regardless of toggle state.
For either agreement to appear, Local Settings > Printing > Agreements must be set to Show agreements automatically or Open agreements using a button. The default is Do not use agreements, which disables both agreements entirely.
Setting Up Agreements
Agreement Text (Standard Agreement)
Enter your agreement content in the left panel. The toggle "Show this agreement for visitors assigned to a group" controls whether group-assigned visitors also receive this agreement:
- Toggle ON — The standard agreement is shown to all visitors, whether or not they are assigned to a group.
- Toggle OFF — The standard agreement is shown only to visitors who are not assigned to a group. Group members skip it entirely.
Group Agreement
Enter the Group Agreement content in the right panel. The toggle "Show this agreement for visitors assigned to a group" controls whether it appears at all:
- Toggle ON — The Group Agreement is shown to visitors assigned to a group only. Unassigned visitors never see it.
- Toggle OFF — The Group Agreement is not shown to anyone.

Both agreements support the same placeholders, which are automatically populated from the visitor's scanned ID:

Click Save after editing either agreement to apply your changes.
Configuring How Agreements Are Displayed
Agreement display behavior is set per-profile in Settings > Local Settings > Printing under the Agreements section.
- Do not use agreements (default) — Agreements are fully disabled. No agreement will appear after a scan regardless of toggle settings on the Agreements page.
- Show agreements automatically — The applicable agreement(s) appear automatically after each scan based on the visitor's group assignment and toggle configuration.
- Open agreements using a button — Agreements are available but only appear when the operator taps the agreements button in the app, giving more control over when they are presented.
Print Document Setting
The Print Document dropdown on the same Printing tab determines what is printed when the print button is used — either an Agreement or a Badge. Select Agreement to print a copy of the visitor's signed agreement.
Common Configurations and Scenarios
Scenario 1: Collect consent from all visitors
Setup:
- Standard Agreement toggle: ON
- Group Agreement toggle: OFF (or not configured)
- Local Settings > Printing: Show agreements automatically
Result: All visitors — grouped and ungrouped — see the standard agreement.
Scenario 2: Suppress the agreement once a visitor is added to a group
Setup:
- Standard Agreement toggle: OFF
- Group Agreement toggle: OFF
- Local Settings > Printing: Show agreements automatically
Result: Only visitors not yet assigned to a group see the standard agreement. Once added to a group, no agreement is shown on subsequent visits.
Scenario 3: Different agreements for group vs. non-group visitors
Setup:
- Standard Agreement toggle: OFF
- Group Agreement toggle: ON
- Local Settings > Printing: Show agreements automatically
Result: Unassigned visitors see the standard agreement. Visitors assigned to a group see the Group Agreement only.
Scenario 4: Group members sign both agreements
Setup:
- Standard Agreement toggle: ON
- Group Agreement toggle: ON
- Local Settings > Printing: Show agreements automatically
Result: Unassigned visitors see the standard agreement only. Visitors assigned to a group see both the standard agreement and the Group Agreement.

Signing Agreements by Platform
VeriScan for iOS and Android — Visitors can sign directly on the phone or tablet screen with their finger.
VeriScan for Windows — You will need to ensure visitors have a way to view and sign the agreement. Two options:
- Swivel your screen so the visitor can read and sign directly on your display. If the screen is touchscreen, they can sign with their finger.
- Open the agreement on a separate visitor-facing display. VeriScan for Windows can be configured to send the agreement to a second monitor or dedicated visitor display. If that display is touchscreen, visitors sign with their finger; otherwise, you will need to connect a supported Topaz signature pad.
Common Use Cases by Industry
Agreements are used across VeriScan's customer base to meet industry-specific legal, safety, and compliance requirements at the point of check-in.
Logistics, Warehouses, and Consumer Packaged Goods — Drivers and contractors confirm their identity, stated purpose, and authorization to access the facility. Agreements create a signed record of entry that supports cargo chain-of-custody documentation and deters unauthorized access.
Financial Institutions — Visitors confirm their identity and purpose before accessing secure areas or conducting high-value transactions. Signed agreements provide an auditable record that supports fraud prevention and internal security compliance.
Cannabis Dispensaries — Customers consent to loyalty program enrollment, authorize data collection for compliance and marketing purposes, and acknowledge applicable state regulations and purchase limits.
K–12 Schools and Universities — Visitors acknowledge sex offender screening, agree to be escorted at all times, and confirm their purpose of visit — supporting campus safety policies and volunteer compliance requirements.
Gated Communities and HOAs — Guests and contractors agree to community rules, acknowledge that their visit is logged, and confirm the resident who authorized their entry.
Corporate Offices and Data Centers — Visitors sign NDAs, acknowledge restricted area policies, agree not to photograph or record on premises, and accept acceptable use policies for any guest Wi-Fi or IT resources.
Healthcare Facilities — Patients and visitors acknowledge HIPAA privacy policies, consent to on-site health and safety protocols, and confirm the nature of their visit.
Entertainment Venues — Patrons at gaming establishments, bars, and nightclubs acknowledge house rules, self-exclusion policies, and venue code of conduct at the point of entry.
Government and Military Facilities — Visitors confirm their stated identity and purpose, acknowledge security screening requirements, and accept escort and restricted zone policies.
Physical Security and Guard Services — Contractors and temporary workers agree to site-specific safety procedures, confirm receipt of required safety briefings, and acknowledge on-site conduct standards.
