How to sign up for IDScan.net's ID scanning for Cloudbeds

Functionality of the integration: Our Cloudbeds ID Scanning Bundle allows front desk staff to autofill the Cloudbeds PMS with guest information by scanning their ID or passport, automating the check-in process.

Step 1: Purchase the ID & passport scanner that meets your needs from this listing

Step 2: Purchase ParseLink data automation software

  1. Activate a my.IDScan.net account using this linkThis will create a cloud-based administrator account for managing all of your identity products. 
  2. Add ParseLink as a new product.1-22-1
  3. Click "Subscribe" to ParseLink. Select your plan type. Both plans are fully compatible with Cloudbeds. 
    • If you are looking to only scan IDs and passports and ingest data, select ParseLink Basic.
    • If you want to catch fake IDs as well, select ParseLink Enterprise3-1
  4. After clicking "Subscribe" you will choose your subscription type (monthly or annual) and the number of devices needed. Complete secure checkout via Stripe. 
  5. Return to My Products to see your active ParseLink Subscription.4

Self-Guided ParseLink Setup for Cloudbeds

If you have purchased your scanner and software and would like to install without assistance from our support team, instructions are below.

  1. Download and install the hardware driver for your ID scanner. Visit our Drivers & Firmware page and select the file that corresponds with your scanner (note that the E-Seek M280 requires 2 firmware files). This will connect the ID scanner to your computer. 
  2. Download ParseLink for Windows.
  3. Follow the ParseLink installation setup instructions hereYou will run the installation wizard to activate ParseLink on your PC.5
  4. Launch ParseLink. It should now be available from your desktop and the Windows start menu.

  5. Add your computer to your subscription. Right-click on the ParseLink tray icon and select "Registration".

    1. Copy the "Hardware ID" and navigate to the Device Management Portal via the blue link in the pop-up window. 
    2. Click on the green "Add Device" button.

    3. A pop-up will appear which will allow you to name the device (ex. "Dallas Front Desk Computer") and enter the Hardware ID that you copied from ParseLink. After clicking "add" you will be able to download a .lic file. 
    4. Return to the ParseLink app on your computer. Right-click the tray icon and select "Registration" to re-open the Registration window. Click "select" and upload the .lic file you have downloaded. This will sync your computer to your ParseLink subscription.

  7. Set up your Cloudbeds field mapping profile. We have pre-built profiles for hotels that are using an American keyboard. These profiles can be downloaded and installed here: 
    • New Reservation - USA Driver's License
    • New Reservation - Passport
    • New Reservation - International Driver's License

For customers who are using a non-American keyboard, or who store the date field in any format other than MM-DD-YYYY, the IDScan.net team will work with you to install your profile. 

8. Once you have installed the profiles, you can connect them to your ParseLink account by doing the following:

  1. Right-click the ParseLink tray icon to open the main menu
  2. Select the "Profile Editor" from the right-click menu
  3. Click the "Open" button in the bottom left of the Profile Editor window
  4. A window will open the ParseLink Profiles directory
  5. Optional: Delete the included profiles as they are not needed
  6. Copy the downloaded profiles to this folder
  7. Close the File Explorer window and the Profile Editor

Enabling Profile Selector at scan time:

  1. Right-click the ParseLink tray icon to open the main menu
  2. Hover over "Settings" in the right-click menu
  3. Enable the "Select Profile for each scan" checkbox

This will show a pop-up after each scan that allows for selection of installed profiles based on ID type.

Our team will walk you through the Profile installation, which will correctly map the fields from a scanned ID into your Cloudbeds software. 

Additional Information

Integration limitations: Some menu items in dropdown boxes must be entered manually by the user. Must have a Windows computer and ID scanner.

How to disconnect the apps: Reach out to our support team and they can remove devices from the account, which will disconnect from the license account and disallow from receiving renewed licenses in the future.
